The whole event, start to finish
One workflow: quote, deposit, event, headcount, balance, paid
Each step hands its work to the next one. Follow one 140-guest wedding all the way down, and notice what never gets typed a second time.
- 1
Quote the event
Build a detailed quote by headcount, by package or by hour and send it while the details are fresh.
Carries forward: client, date, packages, per-head pricing
- 2
Deposit locks the date
Your client approves online with a single click, or you require the deposit to be paid before the quote is accepted — so the date is genuinely booked.
Carries forward: the approval and the deposit

Open the event
Every quote, photo, invoice and payment for a single event kept together, with the site visits and setup on the calendar.

Balance after the day
The final invoice goes out with the deposit and progress payment already applied, and automatic reminders chase anything that goes late.

Start freeSound familiar
One date. A hundred moving pieces.
Events run on dates that can’t move and numbers that keep changing. The headcount shifts twice, the deposit conversation is awkward, the final invoice goes out while you’re still tearing down, and every detail lives in a different email thread. Miss one and it’s not a delayed job, it’s someone’s wedding.
Most of it comes from the same thing: the quote lives in one app, the floor plan in a thread, the invoice somewhere else, and the event itself only in your head. Chronly is event management software that keeps all of it on one record.
What Chronly replaces for a caterer, planner or venue
- The proposal document you re-save per clientQuotes
- The awkward deposit conversationDeposits
- Four months of email threadsEvent portal
- A separate invoicing toolInvoices
- A ticketing platform taking a cutCheckouts
One login, one client list, one place the money and the plan agree. Chronly connects to the accounting software you already use rather than replacing it.
Step 1 & 2 · Quotes and deposits
Quote the event, hold the date
Build a detailed quote (by headcount, by package, by hour, ect) and send it while the details are fresh. Your client can approve it online with a single click, or you can require the deposit to be paid before the quote is accepted, so the date is genuinely booked.
Chronly tracks which quotes are sent, viewed, approved, or expired, with up to three automatic follow-ups before a quote lapses.
- Priced the way events are pricedPer head, per package, per hour, plus the rentals and the staffing.
- The deposit asks for itselfRequire it on approval and the date is held the moment they say yes.
- Three follow-ups before it lapsesSent automatically, so a quote never quietly expires on you.

Step 3 · The event record
Every detail for an event in one place
Use Jobs to keep every quote, photo, invoice, and payment for a single event together. Create a Share Link so your client sees their own event portal: the current plan, what’s approved, what’s paid; instead of scrolling back through four months of emails.

Step 4 & 5 · Milestone billing
Bill by milestone, right through to the day
Deposit at booking, progress payment at final headcount, remaining balance after the event. Convert an approved quote into invoices and send them as each stage lands, with automatic reminders on anything that goes late.
- A headcount change is one editUpdate the number and the quote, the invoice and the client’s portal all agree again.
- Reminders do the chasingThe final invoice goes out while you’re tearing down; the follow-ups happen without you.
- Bank transfers built for big invoices1% with a $1 minimum, never more than $5 — a $12,000 catering balance costs you five dollars to collect, not three hundred.

Questions
Event software questions, answered
- Can I require a deposit before the date is held?
Yes. Set the quote so the deposit has to be paid before it can be accepted. Your client approves and pays on the same link, and the date is genuinely booked rather than pencilled in.
- What happens when the headcount changes?
Update the number on the quote and the revised total, the next invoice and the client’s event portal all follow. The change is written to the event’s history, so there is no argument about what was agreed.
- Can I bill in stages?
Yes — deposit at booking, a progress payment at final headcount, and the remaining balance after the event. Each invoice is converted from the approved quote with anything already paid applied.
- What does it cost to collect a large balance?
Bank transfers are 1% with a $1 minimum and never climb past $5, so a $12,000 catering balance costs you five dollars to collect. Cards are 2.79% + $0.15 with an active subscription.
- Does my client get their own view of the event?
Yes. A share link gives them an event portal showing the current plan, what is approved and what is paid — instead of scrolling back through four months of emails.
- Can I sell tickets to a workshop or tasting?
Create a checkout link and share it. Bundles, add-ons and pay-what-you-want are all there, and the money is collected before the door opens.
- Will I know what the event actually cost me?
Forward supplier, rental and fuel receipts to your Chronly attachment inbox from your phone as you go, and track mileage to site visits and setup. When the event’s done, you can see what you spent instead of guessing three weeks later.
- Who is this for?
Caterers, wedding and event planners, venues and halls, rental companies, and anyone running workshops, classes or tastings on a fixed date.
Quote → deposit → event → headcount → balance → paid
