Feature update
Customize invoice numbers, track inventory, and reorder items
Set your own invoice and quote numbers, reorder line items, track inventory on every invoice, and bulk import customers from a CSV.
This release touches a handful of everyday tasks: how your quote and invoice numbers look, how you reorder items while building one, how inventory tracks as you invoice and refund, and how you bring in your customer list. Here's what changed and how to use each one.
Set your own quote and invoice numbering
Invoices previously always started at 1, 2, 3, and quotes used a prefix followed by a random number. Now both follow a fixed, predictable sequence that you control.
Head to Invoices or Quotes in the settings menu to set the Prefix, Digits (for padding with leading zeros), and Starting number. The screen shows you what the next number will look like before you save.
- Go to Settings and open Invoices or Quotes.
- Scroll to Invoice numbering or Quote numbering.
- Enter a Prefix (for example
INV-orQUO-), the number of Digits to pad to, and a Starting number. - Check the preview, labelled Next invoice will be or Next quote will be, to confirm it matches what you want.
Changing these settings only affects new documents — anything already sent keeps the number it has.
Reorder items on a quote or invoice
When a quote or invoice has two or more items, a Reorder items button now appears. Use it to put your line items in the order you want your customer to see them, without deleting and re-adding anything.
- Open a quote or invoice with at least two items.
- Select Reorder items.
- Use the up and down arrows, or drag the handle on the right of each item, to move it into place.
- Select Done when the order looks right.
Inventory tracks when you send an invoice, and on refunds
Stock quantities now update correctly when an invoice moves from draft to sent, not just when a product sells through your Store. That means the on hand number on a product reflects what's actually been invoiced, whether it came from the store or from a quote and invoice you built yourself.
Refunding an invoice can also put inventory back. When you process a refund, you'll have the option to return the stock to on-hand rather than leaving it deducted.
The product page has also been redesigned, with inventory, pricing, stock history, and where the product is sold laid out more clearly. You can quick-adjust stock, set a low-stock alert level, and see recent sales and quotes right from the product page.
Bulk import customers from a CSV
You can now bring in your whole customer list at once instead of adding people one at a time. Go to Customers and select Import customers.
- Export your customer list from QuickBooks Online, Jobber, or a spreadsheet as a CSV file.
- Select Choose CSV file, or drop the file onto the upload area.
- Map the columns in your file to Chronly's customer fields.
- Review the matched records before anything is saved.
If you're not sure how to format your file, select Download template for a CSV with every column Chronly reads, plus a sample person and business.
What this gets you
Your quote and invoice numbers can now match your own numbering scheme, items appear in the order you intend, inventory stays accurate across every sales channel, and moving your customer list into Chronly no longer means re-typing it.
